- Meet with the building manager
- Decide on new layout of the new location
- Set the budget
- Communicate schedule to employees
- Identify major tenant improvement needs
- Start interviewing and choosing contractors
- Obtain any necessary permits
2-4 Months Before Moving Day
Logistics
- Hire moving company
- Order signage for new location
- Hire commercial cleaning service
- Order change of address forms
Telecom and IT
- Order new phone numbers of transferring of existing lines
- Order internet access of VoIP
- Evaluate server needs
Furnishings
- Design office space and layout
- Order new furniture or get panal cleaning service arranged
- Order desks and chairs
1-2 Months Before Moving Day
Logistics
- Assign office space
- Get rid of unwanted junk
- Hire docuemnt storage company to take records that can be stored off site prior to moving
- Send change of address to vendors
- SEnd change of address to customers
- Update all electronic communications on change
Office Equipment and Services
- Update insurance carriers of change
- Notify any companies which you have leased equopment from and advise of move
- Order security systems
- Order vending/cafeteria service items
- Update all financial records
1 Month Before Moving Day
Prepare existing equipment and supplies
- Inventory existing IT equipment and computers
- Inventory and tag existing furniture
- Arrange for storage of items that will not be moved
Prepare new office
- Build out new offices
- Install new furniture
- Install new phone system
- Order utilities
Last Week of Moving Day
Old office
- Pack up desks, personnel spaces
- Back up computers
- Take down system furniture
- Clean empty break areas, cafeteria
Preparation of new office
- Create label map of new space
- Protect main moving paths
- Inspect new building
- Reserve freight elevators and loading docks
- Distribute new keys
Moving Day and Afterwards
